    1. Hi Bob,

I am a librarian by degree but transitioning to becoming a SharePoint admin. I have been charged with developing a contract and document management system. Our contract management needs tend to be complex in that they are tied to a variety of business processes and procedures (project initiation, CRM). Some contracts are at the project level and others are more generalized (NDAs, MSAs). Also lots of documents (not contracts) need to be related to contracts. Finally, the contract management system is supposed to be part of a company-wide document management system.

I have been looking for books and articles which discuss how to design a contract management system in SharePoint. I know there are products one can buy, but we are a MS Gold partner so I think people wanted to see this developed in SP. I think you have done it successfully — just wondering what resources you used to do it and if you have any advice. I enjoy your blog btw–also was looking at MindManager to add visualization.

      Thank you,

      Emily

    2. Hi Emily,

It sounds to me that your organizing principals differ from the business needs I wrote about. Though the same concepts may apply, I would suspect your specific taxonomy will differ. I have designed solutions that do aid with supporting similar needs. For example, the contract profile list would contain contact types based on what it is supporting; i.e. Project Contract, NDA, MSA, etc. This would allow you to surface metadata that is specific to a contract type. Remember, the contract profile list is simply a directory; providing a centralized means of managing contract metadata and pointers to contract content and artifacts. Each contract profile could also reference other artifacts such as project.

I have never see any books that specifically cover the topic of designing a contract management solution in SharePoint.

This sounds like an interesting business problem you are working on; I can visualize how this may be addressed. I am happy to have further discussion if you wish. Just shoot me a message and I will be happy to help!

      Take Care,
      Bob

    3. Thanks Bob. Can you please send me your contact information? I didn’t actually mean to post to your blog (especially without close proofing–yikes!), I just didn’t know how to get in touch with you any other way.
